What the walkthrough covers

An export goes in, worklists come out.

An agency emails its enrollment-platform export to a dedicated audit mailbox. VitalBot reconciles it against the agency's own enrollment ledger, row by row, and emails each writing agent their own prioritized worklist.

Who is allowed to start an audit.

Only addresses the agency authorizes can trigger a run. An export sent in by anyone else does not audit anything — no run starts, and management is told who sent it.

The holds that stop a bad file.

If the export's shape changes, a date column vanishes, or a finding count spikes past its limit, the run is held. Nothing reaches an agent. The whole run goes to management with the root cause named.

What VitalBot keeps.

The export is parsed in memory. The audit record carries no client names. Agent reports are HTML email only, with no spreadsheet attachment, so a departing agent never receives an exportable client list.

One review for the principal, on every audit

Including clean ones. The Agency Health Review carries the high-risk counts, the manual-review and invalid-ID counts, every internal cross-check that fired — and the ones that did not, at zero, so nothing disappears quietly. It carries a button that returns a spreadsheet of the findings your agents received on the most recent completed audit.

Payroll off the administrator's settlement bundle

Configured per agency and switched on only for agencies that use a settlement administrator. Where it is on, VitalBot reconciles what actually cleared, computes each agent's pay from your own compensation rules, and sends the whole package to you for approval. No agent is emailed and no card goes out until a person presses Full Send. There is a Hold Up button that stops the period: no card goes out to anyone until a person comes back and presses Full Send.

Persistency, per producer, from their own start date

Thirty days, ninety days, six months and all-time, printed on the pay card. Each producer can carry their own start date, so a newer producer is not scored on months before they had a book. Where the export cannot reach back far enough to answer honestly, it says so instead of showing a number.

VitalBot reports what it observes in the files you send it. It does not recover commissions, contact any third party on your behalf, or file anything with a regulator.

It reads an export you email it. It does not connect to the Marketplace, and it does not read any enrollment platform's systems.

Before you ask

What do we have to hand over to try it?

For the demo, nothing. It runs on synthetic data. To run your own audit you supply a roster of your producers and their license numbers, read-only access to your own enrollment ledger — today that is a Google Sheet you share with VitalBot — and an export you email in.

What does it cost?

Pricing is quoted per agency after the call, once the roster size and how you run your book are clear.

Can we start with a pilot?

Yes. We run the first audit by hand and send you the reports your agents would have received, before any of them go out.

Do our agents get a spreadsheet of the book?

No. Agent reports are HTML email only. The spreadsheet is written to the administrator's own disk and is never attached to an agent's email.

What if the export is malformed?

The run is held and you are told why. Nothing reaches an agent. Re-sending a corrected export is the intended recovery path — VitalBot deliberately does not suppress a duplicate submission.

Can we turn things off?

Yes. Rosters, the finding taxonomy, which findings reach agents, header maps and payroll rules all live in your own agency configuration. Delivery to an agent requires an explicit entry — the default is to hold it back.

How long until reports come back?

Usually minutes. The mailbox is scanned on a short cycle rather than a daily batch.
