ORIGIN

Built inside an agency, for an agency.

VitalBot runs in production at one agency — Vital Guard Insurance Services, which its founder owns and operates. That is the whole of its production history, and naming the connection is better than letting a badge imply a customer base that does not exist yet.

It was written because the alternative was a person scrolling a two-hundred-column spreadsheet on a Friday, and because the things that go wrong in a book of business do not announce themselves. A policy that quietly leaves your book looks exactly like a policy that was never in the export. A client whose subsidy dropped looks exactly like a client who is fine, until the premium goes unpaid. Nobody calls to tell you.

Everything on this page is a description of decisions already made in the code, not a roadmap. Where VitalBot cannot support a claim, it does not make one — and that turns out to be the most useful thing about it.

The commitments

Six commitments, made measurable.

Every policy in the export you send is reconciled, on a date range you can name.

A review that cannot say which enrollments it covered is not a review. The question "has this client left my book" is only answerable inside a stated date range, because comparing an all-time ledger against a date-sliced export makes every older client look lost.

Instrumented

The audit computes the export's own date range and states it on every subject line. Absence is only treated as a loss inside that range. Clients whose dates cannot be read are skipped, not flagged. If the date column disappears upstream, the run stops rather than letting the range silently widen to everything.

A producer hears about their own book — and only their own book.

An agency's worklist is not a producer's worklist. Handing someone the whole roster's problems is how a report gets ignored, and handing someone an exportable list of clients who are not theirs is a risk you carry the day they leave.

Instrumented

Each producer receives one HTML email, scoped to their own clients, ordered worst first. No spreadsheet is attached to a producer's report — ever. The spreadsheet version is written to the administrator's own disk and nowhere else, so a departing producer never receives an exportable client list from VitalBot.

Every finding has an audience you set, and the default is to withhold.

Some of what an audit turns up is a producer's work to do. Some of it you may want to keep to yourself — the record of which policies left the book. Which is which is your decision, finding by finding, and it lives in your own configuration rather than in our opinion of it.

Instrumented

Every finding carries a declared audience. Delivery to a producer requires an explicit entry in your configuration; a blank cell, an unrecognized value or a typo holds the finding back and surfaces it to you flagged as unregistered. The default direction is to withhold, which means a mistake in your own configuration cannot leak an internal finding to the roster.

A bad file must not become a false finding against your own producer.

This is the commitment that costs something, and it is the one worth the most. An automated audit that always sends is an automated audit that will one day send every producer a page of confident, agency-wide nonsense, in your name, because a column got renamed upstream on a Tuesday.

Instrumented

Four independent checks can hold an entire run before anything is sent, and a fifth withholds one producer's findings while everyone else's report still goes out. A held run goes to you as a single digest naming the cause. Producers receive nothing.

What is kept is metadata, not client data.

The safest place for client data is a place that does not hold it. Minimisation is a design decision, not a setting anyone tunes after the fact.

Instrumented

The export is parsed in memory. What is kept is metadata — field names, counts, row and byte totals — and the database holds no consumer names at all. A producer's report is HTML email only, so no exportable client list ever leaves with it.

A number that cannot be supported is not printed.

The failure mode of any measurement tool is a confident figure resting on data that could not answer the question. A red number a producer cannot trust costs you more than a blank one.

Instrumented

Where a persistency window reaches further back than the export can support, the producer's pay card says so instead of showing a rate. Where a client's name is no longer in your live ledger, the cell is left blank rather than guessed at. A record that cannot be joined cleanly becomes a review item, not a finding against a producer. Each producer can be given their own start date, so a newer producer is not scored on months before they had a book.

BOUNDARIES

What the standard is not

It is not an accusation.

VitalBot reports what it observes in the files you send it. It does not recover commissions, contact any third party on your behalf, or file anything with a regulator. A policy that has left your book is an observation about a file, not a determination about a person — and the report says exactly that much and no more.

It is not a certification.

There is no badge, no seal, no list of agencies who qualify and no one keeping score. Nothing here is something to be admitted to. VitalBot keeps no list of agencies and makes no judgement about any agency that does not use it.

It is not a transfer of your obligations.

Your agency's record-keeping, supervision and compliance duties remain your agency's. VitalBot instruments them so you can see them. It does not assume them, and no software can.

It is not a claim about anyone else.

This page describes a standard an agency can hold itself to. It says nothing about how any other agency, producer or vendor operates, and it is not an invitation to reach any conclusion about one.

We think this is where agency operations are going.

That is a position, not a forecast. What we can say plainly is that the manual version does not scale, and that the losses it misses are invisible by design — nobody calls to tell you a policy left your book.
