Authorized mailbox intake

Only email addresses your agency authorizes can start an audit. An export from any other address starts nothing. If it came from one of your own listed producers, your management list is told who sent it.

In-memory export parsing

Enrollment-platform exports are read from bytes in memory with file, row, and column limits. The export is not retained as a copied client file.

Ledger reconciliation

VitalBot compares the export against your agency's own enrollment ledger, row by row, using application IDs and a high-confidence fallback when an ID is blank.

Prioritized producer worklists

Each producer receives an HTML email scoped to their own book, ordered worst first: clients whose document or data-matching deadlines are running out, policies cancelled that your ledger still shows active, policies marked paid that are not, clients who were fully subsidized and now owe a premium, and applications that no longer show under your agency. No spreadsheet is attached to a producer report.

Agency Health Review

Management receives an agency-wide review on every audit, including clean runs: counts, anything withheld from producers, internal checks shown at zero when they did not fire, and a running list of where your applications went — the agents of record outside your agency they now sit with, counted once per application. One press on the review's button emails management a spreadsheet of what each producer received.

Safety holds and management routing

Column drift, missing dates, finding floods, and missing producer books can hold a run or a producer's findings before anything reaches the roster.

Your agency controls who can submit files, who receives management notices, and which producers are eligible for delivery.

Finding taxonomy and routing

Your agency decides which findings reach producers and which stay with management. The default is to withhold when a route is blank, unknown, or mistyped.

Your own ledger structure and export headers are mapped for your agency so upstream column order does not decide the audit.

Payroll and settlement reconciliation

For agencies using a settlement administrator, VitalBot can reconcile a configured settlement bundle and prepare approval materials. Nothing is sent to producers until an authorized person presses Full Send.

Compensation and persistency rules

Pay tiers, caps, bonuses, pay lag, producer start dates, and supported persistency windows are defined by your agency's configuration.

Acknowledged exceptions

When an absence has a known reason — a book that lives under an old account, for instance — your agency records it once. Producers stop being asked about it, and management's review still sees it.

What VitalBot will not do

Connect to Marketplace or carrier systems

VitalBot reads the export you email and the ledger you provide. It does not connect to HealthCare.gov, a Marketplace, a carrier portal, or any government system.

Contact consumers or third parties

It does not call, text, or email consumers, contact another agent, or act on your behalf outside your agency.

Recover commissions or make determinations

It reports what it observes in the files you send. It does not recover commissions, decide fault, or make a compliance determination about a person.

File anything with a regulator

VitalBot does not submit complaints, filings, or reports to a regulator.

Replace agency supervision

Your agency remains responsible for its records, supervision, and compliance obligations. VitalBot makes operational signals visible; it does not assume those obligations.
